TERMS & CONDITIONS

Intended for: Small Group Tour
Booking:
A. Please fill in the registration form on our website. You must be at least 18 years of age to make a reservation. You agree to provide full, complete and accurate information to Ekaputra Tour.
B. Conditions if you make a reservation on behalf of another person, you are deemed to be the designated contact person for every participant included on that booking. This means that you are responsible for making all payments due in connection with your reservation, notifying us if any changes or cancellations are required and keeping your party informed. You are responsible for verifying that any information you provide. Make sure the data you provide is complete and accurate. Ekaputra Tour will be under no circumstances available for complete information.
C. Any special requirements, food allergies, and dietary restrictions must be disclosed to Ekaputra Tour at the time of reservation. We will try and do the best to accommodate your special requirements, but this is not a guarantee that we can provide everything. Certain activities & attractions may be inaccessible to you if your mobility is limited in any way. Ekaputra Tour is not liable for any failure to accommodate or fulfill such requests.
D. Travel insurance is compulsory in order to participate in any of our trips. All participants must have medical coverage and that we require a minimum coverage of USD 100,000 for repatriation and emergency rescue. We strongly recommend that the policy also covers personal liability, cancellation, loss of luggage and personal effects. The group leader will check your insurance letter during a meeting before departure. If you cannot show your travel insurance letter, the group leader will not allow you to join this trip.
E. Please make sure when you fill the reservation form, that all information you supply is true and accurate. If you provide information that is incorrect or incomplete, Ekaputra will not be held responsible for any fees you incur as a result of errors, omissions, inaccuracies, late, misplaced or otherwise incomplete information you have provided.
Payment:
A. After all of your data has been received, we will send an invoice for the deposit payment. The deposit payment amount is USD125. Your reservation is confirmed when Ekaputra Tour receipt of the applicable deposit amount. If within 3 days the deposit payment is not done, your reservation will expire.
B. The second payment will be made 30 days before the departure date of the trip. The second payment amount is 50% of your total payment. If the second payment is not received by the applicable due date, Ekaputra Tour at its sole discretion treat the reservation as canceled and retain the deposit paid on the reservation as a cancellation fee.
C. The final payment would be settle on your arrival dates or the first day of the trip, could be charged with online payment or cash payment. Currency for cash payment could be charged by IDR or USD.
D. We understand some of you are worried about making a transaction with the Ekaputra tour because this is your first time transacting with us and you are not well acquainted with our company. We strive to provide a safe and easy payment method for costumer. Therefore we provide a solution for you to do the transaction through a third party, to make a reservation through viator.com (A Tripadvisor Company) which is part of Tripadvisor.com. They will take care of your money until you just finish the tour, so you don’t need to worry. There are several terms and conditions for using a third party (Term and conditions were made by viator.com):
a) You must make full payment when making a reservation with viator.com.
b) There are differences prices when you making a reservation through viator.com with prices listed on the official website of the Ekaputra tour. This is because there are service charges and tax levied by a third party (viator.com).
c) Payment can be refunded if you make a cancellation maximum 30 days before the date of departure, cancellation is less than 30 days then your money cannot be refunded.
d) Cancellation made by Ekaputra tour for any reason, third party (viator.com) will refund all your monies.
Cancellation:
A. Cancellations made by participants :
a) Cancellation received 30 days more before the departure date in the relevant reservation or if the second payment is not received by the applicable due date, then the reservation as cancelled and retain the deposit paid on booking as a cancellation fee. (Deposit is not refundable).
b) Cancellation received less than 29 days before departure date or no show in relevant reservation: No further refund will be payable. (Total of the deposit and second payment).
B. Cancellations made by Ekaputra Tour:
a) Tour is canceled by the Ekaputra Tour before the date of departure for reasons other than Force Majeure and the cancellation is not caused by your fault or negligence, you will have the choice of accepting from Ekaputra Tour :
- A substitute Trip of equivalent or superior value or if the substitute trip has a lower value, we will refund the difference in price between the price of the Tour originally purchased and the substitute Tour.
- A full refund of all monies paid for the canceled.
b) The refund process is only through online payment (PayPal).
c) Ekaputra tour is not responsible for any charges levied by third parties or financial institutions.
d) The refund process usually takes 3-5 working days.
Itinerary Changes
While it is our intention to adhere to the route described below, there is a certain amount of flexibility built into the itinerary and on occasion, it should be necessary to make alterations. Sometimes there is an unpredictable situation on this trip. If there is a force-majeure occurs, we will do our best to find a solution and alternative program/route.
Additionally, any travel times listed are approximations only and subject to vary due to local circumstances.
Medical Requirements
There are no specific rules regarding your health, but we strongly recommend that you consult a doctor before traveling. We recommend that you carry a First Aid kit, personal medicines, hand sanitizers, and antibacterial wipes.
Travel Insurance
Travel insurance is compulsory in order to participate in any of our trips. Group leader will check your insurance letter during a meeting before departure. If you cannot show your travel insurance letter, the group leader will not allow you to join this trip. Travel Documents
You are responsible for ensuring that you meet Indonesia entry requirements and that your travel documents, including valid passports, visas, insurance policies, medical certificates/vaccination in order to visit Indonesia.
You must have a passport that is valid 6 months after the last date of travel with Ekaputra as set out on your itinerary. For passport and visa requirements, please consult the Indonesia embassy or consulate in your country for up-to-date information. Because requirements may change at any time, be sure to check for up-to-date information before booking and departure.
Ekaputra accepts no liability for travelers who are refused entry onto Indonesia because of the traveler’s failure to carry the travel documents. You have full responsibility for obtaining all such documents prior to the start of the Tour, and you are solely responsible for the full amount of costs incurred as a result of missing or defective documentation.
Indonesia Visa Requirements
Travelers that are planning to visit Indonesia for Holiday may choose one of these visas :
a) Visa on Arrival (VOA): Foreigners can apply for a visa upon arrival in Indonesia if the nationality included on visa on arrival countries list. (South Africa, Algeria, USA, Argentina, Australia, Austria, Bahrain, Belgium, The Netherlands, Brazil, Bulgaria, Czech Republic, Cyprus, Denmark, UAE, Estonia, Fiji, Finland, Hungary, India, UK, Iran, Ireland, Iceland, Italy, Japan, Germany, Cambodia, Canada, South Korea, Kuwait, Laos, Latvia, Libya, Liechtenstein, Lithuania, Luxemburg, Maladewa, Malta, Mexico, Egypt, Monaco, Norway, Oman, Panama, France, Poland, Portugal, Qatar, China, Romania, Russia, New Zealand, Slovakia, Slovenia, Spain, Surinam, Sweden, Switzerland, Taiwan, Timor Leste, Tunisia, Greece).
b) A holder of Visit Visa on Arrival is given 30 days stay and can be extended in Immigration Office for 1 (one) time, to have another 30 days stay.
c) Visa on Arrival is available at: Jakarta (Soekarno-Hatta Airport), Bali (Ngurah Rai Aiport), Medan (Kualanamu Airport) and Surabaya (Juanda Airport). All travelers to Indonesia must be in possession of passport valid for at least six months from date of arrival and have proof (tickets) of onward or return passage.
d) The official price for Visa on arrival is USD 35 and could be made by all major currencies (cash or credit card).
e) Travelers from the country that not listed above must have their visa arranged in advance through in Indonesian Embassy or Consulates.
Privacy Policies
Any personal information that Ekaputra Tour collect about you may be used for any purpose associated with the operation of a Trip, such as booking flight ticket, train ticket, hotel and other tour needs that require participant data.
Acceptance of Risk
You acknowledge that the nature of the trip is adventurous and participation involves a degree of personal risk. By traveling with the Ekaputa Tour you acknowledge that you have considered any potential risks to health and safety. You hereby assume responsibility for all such risks and release Ekaputra Tour from all claims and causes of action arising from any losses, damages or injuries or death resulting from risks inherent in travel and participating in adventurous activities such as those included in Tour itineraries and Optional tour offered by Group leader.
You acknowledge that your decision to travel is made in light of consideration of this information and you accept that you are aware of the personal risks attendant upon such travel.
Strict rules
a) We will not tolerate at all, if there are participants who use/carry/distribute/sell illegal drugs of any kind, including marijuana and opium which may be acceptable in some countries.
b) We will not tolerate at all if there are participants who use prostitution services while still joining the group.
c) Not allowed to drink excessive alcohol while on the trip.
Group leader has the right to expel any participant of the group if drugs are found in their possession or if they use prostitutes or if they are drunk.
Governing Law & Jurisdiction
These Terms are subject to the laws of the Republic of Indonesia. You submit to the exclusive jurisdiction of the courts located in Indonesia, for the resolution of any dispute under these Terms or concerning any Tour, product or service.
